Job Overview
The Regional Dispatch Manager is responsible for leading dispatch and transportation activities while remaining actively involved in day-to-day dispatch operations. This is a hands-on leadership role responsible for coordinating driver activities, supporting efficient and timely deliveries, and ensuring a high level of service to our branches and customers.
In addition to operational responsibilities, the Regional Dispatch Manager will lead the development and implementation of a more centralized dispatch model across the province. The role will act as a change agent, challenging existing practices and identifying better ways of working as the dispatch model evolves. Working closely with branch and regional leadership, the role will establish consistent dispatch processes, improve coordination of transportation resources across locations, and support the transition toward a centralized regional dispatch function.
As the centralized model evolves, the role is expected to assume broader leadership responsibility for dispatch employees across the province.
Responsibilities
Dispatch Operations
- Perform hands-on dispatch activities, including planning and scheduling deliveries, assigning drivers, monitoring deliveries, and adjusting schedules as operational needs change.
- Coordinate with Customer Service, Warehouse, Sales, and branch operations to ensure timely and accurate deliveries and resolve service issues.
- Serve as a key point of contact for drivers regarding scheduling, route changes, work assignments, and day-to-day operational issues.
- Plan and coordinate the movement of customer freight based on customer requirements, available drivers, equipment, and branch priorities.
- Provide hands-on dispatch support during peak periods, absences, and other operational requirements.
- Source and coordinate third-party transportation when internal capacity cannot meet operational requirements, including negotiating rates and service arrangements with carriers.
- Develop and maintain effective relationships with third-party carriers to support changing capacity and business requirements.
- Support transportation needs across branches when additional coordination or coverage is required.
Centralized Dispatch Development
- Lead the development and implementation of a centralized dispatch process across the province in partnership with the Regional Operations Manager and branch leadership.
- Act as a change agent by constructively challenging existing practices, questioning the status quo, and identifying opportunities to improve how dispatch and transportation activities are managed across the region.
- Develop consistent dispatch procedures, workflows, roles, and communication practices across branches.
- Improve regional visibility and coordination of drivers, vehicles, delivery requirements, and transportation capacity to facilitate the effective sharing of resources between branches.
- Lead and support teams through changes to dispatch processes, responsibilities, systems, and ways of working, providing guidance and training throughout the transition.
- As the centralized dispatch model evolves, assume broader leadership and oversight of dispatch employees across the province.
- Organize and manage the regional transfer network shipping schedule, staff, and equipment to efficiently distribute requests to and from all locations, while taking transport costs into consideration.
- Act as Liaison to vet and verify 3rd party carriers, collaborate with finance and the branches to ensure our corporate standards are met, protecting Convoy Supply from liability and litigation.
- Act as Liaison with our customs broker to help coordinate incoming and outgoing operations.
People Leadership
- Directly supervise assigned Drivers and Dispatcher(s), while providing functional guidance to dispatch employees across the region as centralized processes are developed.
- Schedule drivers and dispatch staff to meet operational requirements.
- Participate in the recruitment and onboarding of delivery employees and support their ongoing training and development.
- Provide ongoing coaching and feedback, conduct performance reviews, and address performance, conduct, and attendance concerns as required.
- Manage attendance, vacation scheduling, overtime, and staffing requirements for direct reports.
- Promote a positive, accountable, and safety-focused work environment and ensure compliance with company policies and safe operating procedures.
Safety & Fleet Coordination
- Promote safe driving practices, monitor driver activity through Samsara, and ensure required vehicle inspections and defect reporting are completed.
- Work closely with the Regional Fleet Manager to coordinate preventative and corrective maintenance, repairs, inspections, and licensing to support fleet availability and compliance.
- Coordinate vehicle downtime with branch operations and dispatch teams to minimize disruption to customer deliveries.
- Investigate delivery incidents and vehicle accidents, partnering with the Regional Fleet Manager, Health & Safety, and branch leadership as required.
- Ensure required transportation documentation and records are accurately completed and maintained.
Regional Operations Support
- Maintain regular communication with the Regional Operations Manager and branch leadership regarding transportation requirements, capacity, and operational challenges.
- Facilitate communication and coordination between branches when transportation resources need to be shared or adjusted.
- Support the implementation of regional operational initiatives related to transportation and dispatch.
Requirements
- Minimum 5-7 years of experience in dispatch, transportation, logistics, or fleet coordination.
- Previous supervisory or leadership experience required.
- Experience supporting multiple locations or regional operations is considered an asset.
- Strong knowledge of dispatching, routing, and transportation operations.
- Demonstrated ability to develop processes and implement operational change.
- Strong leadership, communication, and interpersonal skills, with the ability to influence and work effectively across multiple locations.
- Strong organizational and problem-solving abilities with the ability to manage multiple priorities.
- Customer-focused with the ability to resolve issues professionally and effectively.
- Proficiency with Microsoft Office; experience with Samsara and Divalto is considered an asset.
- Experience in the construction, roofing, distribution, or building materials industry is considered an asset.
- Ability to travel between branch locations as required.
- Ability to work flexible hours, including overtime and occasional weekends, based on operational requirements.
